When and how do we collect information?

We collect information about you when you enquire about using our services, express an interest in supporting us, or attend an event or training course. We will also collect information about you if you apply or enquire about a role working for Restored, or when you fill out any of the forms on our website. When you use our website, information is collected using cookies. We will normally process your information on the basis that we have your consent to do so. We may also process some of your personal information on the basis that we believe there is a legitimate interest to do so.

Why do we collect this information?

Supporters

We’ll use the information we collect, including your contact details, levels of engagement and areas of interest, to communicate with you about our work, thank you for your support and let you know about further opportunities to get involved with our work, including inviting you to events.

We will also process the information we collect about you on the basis of legitimate interest, in order to improve our service and fundraising strategies. This may include analysing the information you provide, alongside publicly available information, to measure the effectiveness of our marketing strategies and identify opportunities to increase engagement and support. We may also contact you to invite you to complete surveys or feedback forms, to help us evaluate our work. We will always do this in compliance with the rules in relation to direct marketing, including those set out by the Fundraising Regulator.

If you give them your consent, we collect information from third parties including fundraising platforms such as Enthuse and Stewardship, or other sites like JustGiving. You can check their privacy policies to see how they handle your data.

Training & event attendees

When you sign up for or attend a training course or other event, whether online or in person, we’ll use the information we collect about you to communicate with you about the course or event. We may also contact you to let you know about other courses, events, campaigns or resources that we believe might be of interest to you.

We may also process your information on the basis of legitimate interest in order to evaluate and improve the effectiveness of our services, and to identify opportunities to increase the reach of our work. On this basis, we may from time to time contact you to invite you to give feedback on your experience with us.

Survivors

When you request a Survivor’s Handbook or other resource, we will use the information you give us to provide you with your requested resource. We may also process your information on the basis of legitimate interest in order to monitor and evaluate our resource provision.

When you sign up to join our Survivors Network, we will use the information you provide you with our services, including sending information about domestic abuse recovery and faith, and opportunities to engage with the Survivors Network through small groups and events. From time to time, we may contact you to inform you of opportunities to engage in research projects or other events organised by third parties, for example university researchers or other domestic abuse support services. We will never pass on your information to third parties without your prior consent, or if there is a legal requirement to do so, for example if a court order requires us to share records of your interactions with us as part of a police investigation.

If at any point you wish to opt-out of these communications, you can do so by contacting us (survivor@restored-uk.org), or clicking the ‘unsubscribe’ button at the bottom of any email from us.

We may also process the data you have provided on the basis of legitimate interest to monitor and improve our service provision, including by analysing the data we collect to increase our understanding of our Survivors’ Network members and identify opportunities to improve the service we provide and extend our reach.

We may also contact you to invite you to take part in research and provide feedback in relation to our services.

If you contact us for support and advice regarding a domestic abuse situation, we may keep a record of this on our secure system for safeguarding reasons and to make sure we can provide you with the most appropriate support.

Small group attendees

If you sign up to attend one of our Survivors Network recovery courses or peer support groups, we will collect additional contact information including your phone number and mailing address. This is to enable the smooth running of the courses, posting of course materials and so that we can contact you quickly in case of any concerns about your safety or wellbeing.

Job applicants & Volunteers

When you apply for a position within Restored, either as a volunteer, intern, or paid member of staff, we will use the information you provide to consider your application.  We will use and process  your data for the purposes of communicating with you regarding your application, and on the basis of a legitimate interest to review your application, and, for certain categories of information, for the purpose of complying with a legal obligation (e.g., data relating to your ability to work in the UK). We will only request a reference or a DBS disclosure with your prior consent.

 Website Users

We collect non-personal data about people who visit our website. That’s things like IP addresses (which tell us, for example, the places from which people are logging on), which pages people visit and which files they download. Other information is collected when you complete and submit forms through our website. We also collect information through cookies – small text files that are placed on your computer when you use a website. Information collected via cookies is anonymous. To find out more about cookies, including how to see what cookies have been set and how to manage and delete them, visit allaboutcookies.org.

This data is collected on the basis of legitimate interest in order to host and maintain our website, and to process any forms, requests or applications you send.  This helps us find out if our website is working well and helps us improve it.

We will not normally share any of the information that we hold about you without your prior consent unless in any of the following instances:

Where do we store your information?

We use cloud-based systems to process data – that means data may be processed outside of the European Economic Area (EEA). We only let this happen when we believe your data will be kept safe. We do everything we can to make sure your data is looked after as described in this policy. By giving us your personal data, you’re agreeing to us using the cloud-based systems to process it.

We do all we can to protect your personal data, and this includes working with reputable companies such as Mailchimp and other third-party platforms, which enable us to carry out our work and provide you with our services. We always take reasonable steps to ensure that these platforms will keep your data secure.

The only people who can access personal data are those Restored staff members or volunteers who can’t do their jobs without it. These people are all trained in data protection.

How long will we keep your information for?

We take reasonable steps to ensure that your information is held securely. We only hold your information for as long as is required according to our Data Retention Policy. When the retention period for the information you have given us has come to an end, we will delete it by either removing the information from our system or by anonymising it so that it ceases to be personal data that identifies you. Some of the main retention periods described in our Data Retention Policy are as follows:
